Retreat Terms & Conditions

​​Cancellation & Refund Policy

By booking a retreat with Vicky Tomsky / White Lotus Yoga, you confirm that you have read, understood, and agreed to the following terms and conditions.

1. Deposit

A non-refundable deposit is required to secure your place on the retreat.
This deposit allows us to begin the planning process and to commit to venues, accommodation, teachers, and services in advance.

For this reason, deposits are non-refundable under all circumstances, including personal reasons, illness, family matters, or travel-related issues.

2. Balance Payment & Cancellations

Once the balance is paid, the following cancellation policy applies:

  • More than 60 days before the retreat start date
    A partial refund of the balance paid may be possible, excluding the non-refundable deposit, and after deducting any non-recoverable expenses already incurred.

  • 60–30 days before the retreat start date
    50% of the total retreat price is non-refundable.

  • Less than 30 days before the retreat start date
    Unfortunately, no refunds can be offered for cancellations made within 30 days of the retreat start date.

 

3. Last-Minute Cancellations

Cancellations made within 30 days of the retreat start date are non-refundable, regardless of the reason.
At this stage, most retreat costs are already fixed and it is not possible to refill places at short notice.

 

4. Exceptional & Compassionate Circumstances

We understand that life can be unpredictable. In the event of serious illness, death of an immediate family member, or exceptional circumstances, we may, at our discretion:

  • Offer a partial refund, or

  • Offer a credit toward a future retreat, subject to availability

Each situation is considered individually and with care, though refunds cannot be guaranteed.

 

5. Travel, Flights & Insurance

Participants are responsible for arranging their own travel and flights.
We strongly recommend purchasing comprehensive travel insurance, including coverage for cancellations, medical emergencies, and travel disruptions.

The retreat organizer cannot be held responsible for flight cancellations, delays, or changes made by airlines or other travel providers.

6. Force Majeure

In rare cases of circumstances beyond our control (such as natural disasters, pandemics, government restrictions, or other force majeure events), the retreat may need to be postponed or cancelled.

In these situations:

  • Deposits remain non-refundable

  • Cash refunds may not be possible

  • A credit toward a future retreat may be offered where feasible

 

7. Cancellation by the Organizer

If the retreat is cancelled by the organizer, all payments made toward the retreat will be fully refunded, excluding any personal travel expenses incurred by participants.

8. Transfer of Booking

If you are unable to attend, you are welcome to transfer your place to another person, subject to approval and completion of the required details, up to 14 days before the retreat start date.
